- Not as software — but the manual version is free and genuinely works: reconcile the payroll register against an HR roster kept in a different system, search for duplicate bank accounts and addresses, flag anyone with no PTO or benefits activity, and count W-2s against actual humans at year end. - How do ghost employees usually get caught?
- Ordinary attention, more often than software: someone finally asks 'who is this person?', a bank statement gets read closely, or a new bookkeeper reconciles a list the old one never let anyone touch. Software shortens the time until that moment — which matters, because the ACFE's 2026 data puts the median payroll scheme at 13 months before detection.
- Can my payroll provider detect ghosts for me?
- Only partially. Payroll systems process what they're told. Some flag anomalies — ADP RUN's payroll preview catches paychecks that deviate from history, a useful tripwire — but no provider can know whether a perfectly well-formed employee record corresponds to a real human. That check is either identity verification at onboarding or a roster audit after the fact.
